VERIFICATION POLICY

1. PURPOSE

1.1. This Verification Policy explains how Hireinst ("we", "us", "our") verifies Users and restaurant claims, what information and documents we may collect for verification, how we protect them, and how long we keep them.

1.2. Verification exists to improve trust and safety on the Platform — to reduce fraud, impersonation, fake restaurants, and fake job posts. It is one of several safety measures and is not a guarantee.

1.3. This Policy forms part of our Terms of Service and should be read with our Privacy Policy, Data Retention & Deletion Policy, Employer (Restaurant) Terms, and Worker Terms. Capitalised terms not defined here have the meaning given in the Terms of Service.


2. WHAT VERIFICATION IS — AND WHAT IT IS NOT

2.1. Verification is a signal, not an approval or guarantee. Where a User or restaurant is shown as "verified", it means we have completed a limited check (for example, confirmed access to a mobile number, or reviewed a claim). It does not mean:

2.2. You must still do your own checks. Restaurants must independently verify Workers before hiring, and Workers must independently satisfy themselves about restaurants and jobs before accepting them. Verification by Hireinst does not replace your own due diligence.

2.3. Hireinst remains a platform/intermediary. Verification does not make Hireinst an employer, recruiter, or party to any hiring.


3. TYPES OF VERIFICATION

3.1. Mobile number (OTP) verification. We may verify your mobile number by sending a one-time password (OTP), delivered by WhatsApp and/or SMS. Entering the correct OTP confirms that you have access to that number. This is a basic anti-fraud and account-security measure. You must not share your OTP with anyone; Hireinst will never ask you to share your OTP with our staff.

3.2. Restaurant claim verification. When a Restaurant claims a listing, we may require OTP verification and other information to check that the person is authorised to represent that restaurant. A claim is not auto-approved by verification. Every claim remains subject to review and approval by our team before it takes effect (see Clause 4).

3.3. Identity / KYC document verification. In some cases — for example, to support a restaurant claim or to resolve trust-and-safety concerns — we may ask a User to provide an identity document such as an Aadhaar card and/or PAN card. These documents receive special, limited-retention handling (see Clause 5).

3.4. Other checks. We may use additional signals (such as reports, flags, activity patterns, and consistency of information) as part of our trust-and-safety processes.


4. RESTAURANT CLAIMS: OTP PLUS HUMAN REVIEW

4.1. Restaurant claims follow a two-part process:

(a) Verification signal — such as OTP confirmation and any required information/documents; and (b) Human review — our team reviews the claim and supporting signals before approving it.

4.2. Verification is one input; approval is a separate, human decision. We may approve, reject, request more information, or revoke a claim at our reasonable discretion, including on the basis of reports, flags, inconsistencies, or suspected misuse.

4.3. We may re-review or revoke a previously approved claim if new information or a credible report suggests it should not stand.


5. IDENTITY / KYC DOCUMENTS — COLLECTION, USE, ACCESS, AND 30-DAY DELETION

This Clause sets out exactly how we handle identity documents such as Aadhaar and PAN.

5.1. What we collect. Only the identity document(s) reasonably necessary for the specific verification purpose (for example, an Aadhaar card and/or PAN card). We do not collect identity documents we do not need.

5.2. Why we collect them. Solely to verify identity and/or authority for trust-and-safety and, where applicable, restaurant-claim review. We do not use identity documents for advertising, profiling, or any unrelated purpose.

5.3. Who can access them. Access is restricted to a limited number of authorised personnel who need it for the verification purpose. Access is controlled and logged. We do not make identity documents visible to other Users.

5.4. How long we keep them — 30-day maximum. We retain identity documents for a maximum of 30 (thirty) days. We delete them:

whichever is earlier, except where longer retention of the document is strictly and specifically required by Applicable Law.

5.5. What remains after deletion. After we delete an identity document, we may keep only a minimal record that verification occurred (for example, a "verified" status and the date), and not the document image or the identity number itself, unless a specific legal obligation requires otherwise.

5.6. Security. Identity documents are stored securely during the retention window, with access controls, encryption in transit, and audit logging, consistent with our Privacy Policy.


6. YOUR OBLIGATIONS

6.1. When you submit information or documents for verification, you must ensure that they are true, accurate, current, lawful, and your own (or that you are authorised to submit them).

6.3. Submitting false or fraudulent verification information is a serious breach of the Terms of Service and may result in immediate suspension or termination and, where appropriate, a report to law-enforcement authorities.


7. CONSEQUENCES OF FAILED OR FALSE VERIFICATION

7.1. If you fail verification, decline to provide required information, or provide false information, we may: limit or withhold certain features (such as restaurant claims, messaging, or contact reveal); decline, suspend, or revoke a claim; suspend or terminate your Account; and/or report the matter as required by law.


8. DATA PROTECTION

8.1. All personal data collected for verification is processed in accordance with our Privacy Policy and Data Retention & Deletion Policy, including the DPDP principles of purpose limitation, data minimisation, and storage limitation. You have rights in relation to this data (including access, correction, and erasure) as described in the Privacy Policy.


9. REPORTING VERIFICATION CONCERNS

9.1. If you believe a "verified" restaurant or User is not genuine, or that someone has misused verification, please report it through the in-app tools or to support@hireinst.com. We review reports and may re-verify, suspend, or revoke as appropriate.

11. CHANGES

11.1. We may update this Verification Policy as our trust-and-safety processes evolve. The "Last Updated" date reflects the current version. Material changes will be notified where appropriate.
